Record an expense

Recording expenses as you pay them shows your true profit and keeps receipts in one place for your accountant.

  1. The Expenses page, with the New expense button marked. In the sidebar, under Purchases & Expenses, open Expenses and click New expense.
  2. The New expense form, with the Account it was paid from marked. Under Account, choose the bank or cash account the money left from, such as Main Operating Account — not an account named after a kind of spending, such as Rent Expense.
  3. Enter the Date and the Amount.
  4. In Description, say what it was for and who you paid, for example "Diesel, Total filling station".
  5. Type a Category, for example Rent, Internet, Transport, Fuel or Salaries. A name you have not used before becomes a new category; type an existing one exactly to reuse it.
  6. Under Receipt, attach a photo or PDF of the receipt if you have one: JPEG, PNG, WebP, GIF or PDF, up to 4 MB.
  7. The bottom of the New expense form, with the Save expense button marked. Click Save expense.

The expense now counts on your dashboard and in your reports.

Tip: generator fuel and diesel are real business expenses. Give them their own category, such as "Generator fuel", so you can see what power costs you.
