Create and send an invoice

You can create a professional invoice and email it to your customer in a few minutes.

  1. The Invoices page, with the Create invoice button marked. In the sidebar, under Sales, open Invoices and click Create invoice.
  2. The new invoice form, with the Customer list marked. Choose the Customer. The first customer in your list is selected to start with, so check it is the right one.
  3. Check the Invoice date and Due date. The due date starts at 30 days from today; change it if your terms are different.
  4. The line items on the new invoice form, with the Add line button marked. Under Line items, enter each item's Description, Quantity and Unit price, and use Add line for more. NairaHQ works out the totals when you save.
  5. If you are VAT registered, choose a VAT option: added on top of your prices, or already included in them. NairaHQ applies VAT at 7.5% and shows it as its own line on the invoice. Record your VAT registration first, in Tax settings under your name at the top right; without it, a VAT invoice cannot be saved.
  6. Add Notes or Terms if you need them.
  7. The bottom of the new invoice form, with the Create invoice button marked. Click Create invoice. It is saved as a Draft.
  8. An invoice's menu open in the invoice list, with Email marked. To send it, open the invoice's menu in your invoice list and choose Email. Check the message, then click Send invoice email. NairaHQ emails it to your customer with the PDF attached. The customer needs an email address on their record.

You will see "Queued for sending" while the email goes out, and the invoice shows as Sent once it has been delivered. Send each invoice once; there is no need to press again.

Tip: choose PDF from the same menu to download the invoice and share it on WhatsApp.
