How to Send a Professional Invoice in Nigeria (and Get Paid Faster)

By the NairaHQ team · · 3 min read

If you run a business in Nigeria, you've probably sent a "bill" on WhatsApp at some point: a quick message with an amount and your account number. It works, sometimes. But when customers delay payment, forget what they owe, or ask "what was this for again?", that quick message starts costing you money.

A proper invoice fixes that. It tells your customer exactly what they're paying for, how much, by when, and how to pay you. Businesses that send clear invoices simply get paid faster.

What every invoice should include

  1. Your business details. Your business name, logo, address, phone number and email. If you're registered, add your RC number and TIN. It shows you're a real, established business.

  2. Your customer's details. Their name or company name, and their contact information.

  3. An invoice number. Every invoice needs its own number (for example INV-00012). It makes payments easy to track, and it's what your customer should use as the reference when paying.

  4. Issue date and due date. Be clear about when payment is expected. "Due in 14 days" is far better than no date at all.

  5. What you're charging for. List each product or service on its own line, with quantity, price and total. Vague descriptions lead to questions and delays.

  6. VAT, if you're registered. If your business is VAT-registered, show the VAT clearly. If you're not, don't add it.

  7. The total amount due. Make it impossible to miss. Writing the amount in words too ("Forty-five thousand naira only") prevents disputes.

  8. How to pay. Your bank name, account name and 10-digit account number, plus the reference to use. Even better, add an online payment link so customers can pay by card or transfer in one tap.

Why WhatsApp messages and Excel aren't enough

WhatsApp is great for talking to customers, but it's not a record. Messages get buried, amounts get mixed up, and you can't easily see who still owes you. Excel is better, but it takes time to format, it's easy to make mistakes, and it doesn't remind you when a payment is late.

As your business grows, you need to know at a glance: who has paid, who hasn't, and how much money is still outside.

Tips to get paid faster

  • Send the invoice immediately after delivering the product or service, while it's fresh in your customer's mind.

  • Always include a due date. Customers prioritise bills with a clear deadline.

  • Make paying easy. Bank details on the invoice plus an online payment option removes every excuse.

  • Send a receipt when you're paid. It builds trust and closes the loop.

  • Follow up politely. A friendly reminder a few days before and after the due date works wonders.
